DATA MANAGEMENT

Procedure

It is important that data are managed following a set procedure in order to maintain consistency in the database. The AIMS monitoring database has a manager to ensure this consistency is maintained once it reaches the ORACLE ® database at AIMS. However, it is the responsibility of the collectors to ensure the data are of high quality before reaching the database. This can be achieved by following the procedure described below.

  1. Record the following information in a dedicated video analysis notebook: reef name, reef id, site number, transect number, sample_id and analyser. Any modifications and additions made to the reference table should also be recorded at the beginning of each year's notebook.
  2. Run the video checking program from AVTAS and check the output file (avtaserr.log). This will identify errors including:
  1. duplicate samples
  2. missing data
  3. invalid video codes
  1. After checking, export the data from the AVTAS database to two temporary ORACLE tables; VIDEO_SAMP and VIDEO_DATA which contain data from the sample table and data table respectively. Here the data are again checked for errors by the database manager. When corrected, the database manager transfers the data to permanent ORACLE tables.

Video tapes

  1. After analysis, the video tapes are duplicated and the copies made are stored (vertically) in the data cabinet at AIMS. Fast forward the video tapes every two years to prevent the video tapes sticking. The originals should be sent to Commonwealth Archives.
